Analyze documents with AI: Data out, no retyping

Invoices, delivery notes, contracts and forms arrive as PDFs, scans or spreadsheets. We build the pipeline that turns them into reviewed records and writes those records wherever you need them.

On request, the file never leaves the machine: reading and analysis run inside your employees' own browsers.

AI + human

The AI proposes, your team approves. Only what someone has actually confirmed makes it into your system.

100% in the EU

When a server is unavoidable, it stands in Europe. Which models run where is something we settle together up front.

1 structure at the end

However different the documents look going in, the same cleanly named fields come out at the other end.

Document in, data out

Extract, review, import

The AI reads the document and proposes the values, each one with the model's own estimate of how sure it is. Your team sees the proposal and the spot it came from side by side, and approves.

Where the flood of documents gets stuck

The data already exists. It happens to sit in the wrong format, namely inside a document.

01

Retyping eats the day

Someone opens the invoice, reads the number, types it into the system, jumps back, reads the amount. Forty documents later the morning is gone.

02

One transposed digit travels on

Whatever gets captured wrong once shows up again in accounting, then in the reports, then on your tax advisor's desk. Fixing it costs a multiple of entering it.

03

Every sender has its own layout

Two hundred suppliers, two hundred invoice layouts. Fixed rules and position templates break the moment one supplier reworks its form.

04

Cloud services are where it stops

Nobody uploads personnel files, patient records or contracts to a US provider. So the work stays manual, long after it could have been running on its own.

What we extract for you

Which building blocks you need depends on your documents. We tailor the solution to the paperwork that actually arrives at your company.

01

Invoices & receipts

Invoice number, date, amounts, tax rates and individual line items, even when every supplier sends its own layout.

02

Contracts & forms

Terms, deadlines, contracting parties and special clauses out of contracts, applications and completed forms.

03

Scans & photos

Scanned and photographed paper documents are turned into text first, then analyzed. The fax from your supplier included.

04

Spreadsheets & lists

Excel files, CSV exports and price lists from third-party systems, merged into your own field structure.

05

Review before anything is imported

Every value arrives with the model's own confidence estimate and the spot in the document it was taken from. Uncertain fields go to the top of the pile.

06

Rules you set yourself

Invoices above a certain amount go for approval, unknown suppliers go to review, everything else passes straight through. You set the thresholds.

07

Handover to your systems

The reviewed data travels on into accounting, inventory or your document archive, through whatever API that system offers.

08

On your own machine or in the EU

For sensitive files the analysis runs locally in the browser, with no upload. The alternative is servers inside the EU. We have built both.

09

Operations & refinement

New document types, new fields, new edge cases: we keep the analysis current as your paperwork changes.

How your document analysis comes to life

Four steps from a stack of paperwork to a reviewed record.

01

Looking at your documents

We take a real cross-section: the tidy invoice, the crooked scan, the odd case. That shows which fields can be pulled reliably at all.

02

Concept & fixed price

You get the field list, the route the data takes and the approval rules in writing, plus a fixed price per stage. You know what will be built before the first line of code.

03

Trial run with real documents

We measure against your own stack how much the analysis gets right and where it misses. Daily use starts once the hit rate holds up.

04

Go-live & expansion

The first document type goes live and takes work off your team at once. The next ones follow in the order that saves the most time.

Frequently asked questions about AI document analysis

A first document type including the handover into your system usually starts at around €6,000, and larger projects covering several kinds of paperwork land between €10,000 and €35,000. The number moves with the count of document types, the number of fields per type and whether the processing runs locally, in the EU cloud or as a mix of both. After the first conversation and a look at your documents, you get a fixed price per stage.

That depends on the document, so we measure it: during the trial run we count, on your own paperwork, how often a field is recognized correctly. Clean digital invoices are no trouble. Poor scans and handwritten additions are a different story. For every field we set the confidence level at which a value is imported directly and the point at which a person takes a look.

The AI makes a proposal and stops there. Every value comes with an estimate of how sure the model is, together with the spot in the document it was taken from. Your team sees both side by side and corrects with one click. Only what has been approved moves into your system.

Yes. A scan or a photo carries no text layer to read from, so text recognition runs in front of the analysis. The quality of the original counts for a lot: a sheet scanned straight reads reliably, a skewed phone photo with shadows across it much less so. The trial run shows you, on your own files, where the limit sits.

Only if you want them to. We have built an analysis where the file and the processing stay entirely inside the employee's browser, with no upload at all. Where that isn't enough, we use models on servers in the EU. Which documents take which route is something we settle together beforehand and put in writing.

Analysis in the browser is the simplest case: no transfer takes place, because the file never leaves the machine. On the EU route you need a data processing agreement with the provider, and we tell you which provider that is and what it commits to. What gets stored at the end is your call: the fields on their own, or the extracted text alongside them as evidence.

For everyday volumes at a mid-sized company, quantity is rarely the constraint, because the analysis runs per document and can be parallelized. The workflow around it matters more: do the documents arrive by email, from a folder or straight off the scanner, and who looks at the uncertain cases? We settle that during the concept phase, because the payoff hangs on it.

No. The analysis sits in front of what you already run and hands the reviewed data to accounting, inventory or your archive. Where a system has an API, we use it. If there is none, we talk about a file import or a connection we build ourselves.

With the document type that arrives most often and gets typed out most mindlessly. Usually that means incoming invoices. One type, read cleanly and wired into your system, tends to save more time than three half-finished ones. The next ones follow in whatever order pays off.
