Document inventory
We look at which documents your team builds today, where the data comes from and where most of the time drains away. Out of that comes the list of what pays off first.
Your data becomes finished PDFs in your brand's design, sent out and filed away on their own. Nobody retypes anything, nobody copies templates.
At a glance
1 template
Every document comes from one centrally maintained template. Change the design once, and every future document carries it.
0 copy-paste
Amounts, names and line items come straight from your systems. Retyping and transfer errors disappear.
24/7 documents
Automation keeps no office hours: documents are generated at night, on weekends and in the middle of your vacation.
100% your design
Logo, fonts and letterhead sit exactly the same on every document, from the first to the thousandth.
Your systems deliver the data, the automation turns it into finished PDFs: generated, sent and filed in the same moment.
Why documents eat so much time
A single Word document is built quickly. As a permanent routine, manual work gets expensive: in hours, errors and nerves.
Every department maintains its own Word templates. Three logo versions, four fonts, and nobody knows for sure which file is the current one.
Amounts, names and dates travel by hand from the system into the document. Sooner or later the wrong amount lands in a contract, and the customer finds it.
Quotes, confirmations, monthly reports: every week, hours go into assembling documents that follow the same pattern every time.
Everything already lives in the CRM or ERP. The document is still built next to it in Word, sent by email and filed away somewhere.
Each of these building blocks runs in some form for our clients every day. Your solution gets the parts your process actually needs.
An order, a record or a form submission becomes a finished PDF, faithful to your template. Tables, charts and multi-page layouts are no problem either.
We rebuild your templates pixel-perfect from your letterhead or style guide, with headers, footers, page numbers and everything your corporate design prescribes.
Documents with sequential numbers, line items and totals, straight from your orders. With a complete dunning process behind them if you want one.
Certificates, deeds and confirmations are generated automatically the moment the underlying case is closed, and go straight to the recipient.
Contract documents are assembled from approved text modules: depending on the case, the right clauses end up in the document, filled with the right data.
Whether ten certificates or ten thousand statements: one run generates all documents in a single pass, each with its own data.
Summaries, report sections or cover letters can be pre-drafted by AI, following your guidelines. You approve whatever matters to you.
Finished documents go out automatically, by email or into your customer portal, and end up where your team looks for them: with the customer, with the case, in the archive.
CRM, ERP, shop or your own database: the automation fetches data where it already lives. For developer teams we also expose PDF generation as its own API, HTML in, finished PDF out.
Four steps from manual work to documents that create themselves.

We rebuild your most important documents as clean templates in your brand's design. Along with them you receive a fixed-price quote for the automation.
We connect the automation to your systems and generate the first documents with real data. We compare them against your existing ones until every detail sits right.
The first document type goes live and saves time immediately. Then the next ones follow, in the order that delivers the most.
In a free consultation we count up together which documents cost you time, and give you an honest estimate of how much of it automation can take over.
Frequently asked questions about document automation
A first document type with a template and a connection to your data usually starts at around €5,000, and most projects land between €8,000 and €30,000. The range depends on the number of document types, the source systems and extras like mass generation or archiving. After the free consultation you receive a binding fixed-price quote.
Anything that follows a pattern: invoices, quotes, order confirmations, contracts, certificates, attestations, delivery notes, reports, bulk letters. The rule of thumb: whatever your team builds by pattern today can be generated automatically.
From the systems where it already lives: CRM, ERP, shop, accounting, your own database or a form on your website. We build the connection, the automation fills the template. If some data is not captured in a structured way yet, we first clarify how it will be going forward.
Yes, exactly like it. We rebuild the templates from your letterhead or style guide, with logo, fonts, headers and footers. Technically the PDFs are rendered with the same engine your browser uses for web pages, so every detail sits exactly as designed.
Texts and text modules, yes: for those you get editable templates or a small management interface. Structural layout changes we prefer to make ourselves, so nothing shifts out of place. How much freedom you need is settled during the concept phase.
Yes. Alongside the PDF we generate the structured e-invoicing formats your market requires. For Germany that means XRechnung and ZUGFeRD, which packs PDF and data record into one file, and the same pipeline adapts to other national formats. If invoices are your main use case, our billing automation page goes deeper.
Yes. Mass runs generate thousands of documents in a single pass and can run at night or on a schedule. Every run logs what was generated and speaks up when something is missing for one of the documents.
Whatever your process calls for: dispatch by email, filing in the customer portal, handover to your document management system or audit-proof archiving. Every document keeps its link to customer and case and stays findable.
The first document type is usually in use after a few weeks, template and integration included. Every further one is much faster, because the technology and design are in place by then. Larger stages like archiving or mass generation are planned as their own phases.
If someone at your company still builds invoices, contracts or certificates by hand, we should talk. We'll look at your templates and show you how they become automated PDFs.
